Client management for barbershops

Client management in SalonSync keeps every client’s visit history, usual service, usual barber and visit count, so the front desk can answer “same as last time?” without asking. Missed appointments are recorded separately from cancellations.

A barbershop's best asset is knowing its regulars — what they had last time, who cuts their hair, and that they have not been in for two months. Most shops keep that in one person's memory. SalonSync builds it from the bookings you are already taking.

A sample shop: every name and figure below is invented.

What a shop loses without a client book

  • “What did we do last time?”

The client does not remember the number, and neither does the barber who did it. Asking is the difference between a professional and a stranger with clippers.

  • Regulars leave quietly

Nobody announces they have stopped coming. Without a list of who used to be in every three weeks and has not been in for two months, they are gone before anyone notices.

  • The notes are in one head

Allergic to that aftershave, scissors only, never in a hurry. When that barber is off, it is lost.

  • Nobody knows who the good clients are

Not the loudest and not the newest — the ones who come often and spend. Without visit counts nobody can say.

How the client book builds itself

Created by the booking, not by data entry

Whoever books — the desk, the public page, or the assistant — creates or matches the client by phone number. There is no import and no separate form to fill in.

  • Standing is counted, never stored
  • Who is slipping away

Private notes on the profile

What to remember about this person, first thing on their page rather than buried under statistics. Only the shop ever sees it.

  • Their habits, from their history
  • A loyalty card if you want one

Questions about client management

Do I have to enter my clients?

No. The book fills itself from bookings, matching on phone number, whoever took them. You can correct a name or add a note at any time.

How is a VIP decided?

By kept visits: twelve or more is VIP, six is Loyal, two is Regular, below that is New. It is counted from the visits every time it is shown, so it cannot drift out of date.

What counts as a client who is slipping away?

Someone with at least two completed visits who has not had one in the last sixty days. Somebody who came once and never returned is not counted — they were never a regular.

Can clients see the notes about them?

Never. Notes are for the shop, and the profile says so on the field itself.

How does the loyalty card count?

From completed visits only. A booking that was cancelled or a no-show earns nothing, so the card cannot be gamed by booking repeatedly.
