Does SalonSync send appointment reminders automatically?

Yes. Reminders run on a schedule and go out through Telegram today, to staff and to clients who have connected it. WhatsApp reminders are built but not switched on: connecting a number needs Meta to approve SalonSync as a Tech Provider, and that approval is pending.

Can I charge a deposit to stop no-shows?

Not through SalonSync — it does not take payments online. You can record what was paid at the counter against a visit, but there is no card-on-file or deposit feature, so a deposit policy would have to be handled outside the software.

Can I see which clients miss appointments?

Yes. A missed appointment is recorded as a no-show rather than a cancellation, and each client's history shows both, so you can tell a one-off from a pattern before changing how you treat somebody.

Does SalonSync tell me which clients are at risk of not coming back?

Not automatically — there is no churn-risk list for clients yet. What it gives you is each client's appointment history, visit count and your own statistics on appointments and takings, which is enough to spot a regular who is overdue at the size most salons run at.

Can I see how often a client normally comes in?

Yes. Each client record carries their full appointment history with the service and the barber for each visit, so their usual interval and usual booking are visible on one screen.

Does SalonSync have a loyalty programme?

It counts visits per client, which is what a loyalty card is really doing, and shows that count on the client's record. There are no points, tiers or automatic rewards — deciding what a tenth visit earns is yours.

Online booking

Can clients book without calling?

Yes — from your booking page link (Instagram bio, WhatsApp status, QR on the counter) they book alone in four taps, or by chatting with the assistant.

How does the assistant avoid double bookings?

It reads your real calendar and each barber's schedule and only proposes free slots; bookings are validated server-side before confirmation.

What information is required to book?

A name and a valid phone number, always — so every appointment in your agenda is reachable and confirmable.

Do I need a domain or a website?

No. Each shop gets its own address on salonsync.ma and the page is live as soon as there are services and a barber. If you already have a site or an Instagram bio, the link goes there.

Can I choose how the menu looks?

Yes. There are several menu layouts, from a plain price list to a photo-led one, and you can switch sections like products, gallery or FAQ on and off.

How far ahead can clients book?

You set the horizon. Past it, the form stops offering dates rather than accepting a booking it will have to refuse.

Do clients have to create an account?

No. A name and a phone number is the whole booking, and the phone remembers them for next time.

Will the page show up in search?

It is a server-rendered page carrying your shop's name, address, opening hours, priced services and reviews as structured data, so search engines and AI assistants can read it as a real business rather than guess.

How do reviews get onto the page?

A request can go out after a completed visit, and every review waits for you before it appears. Only what you publish is shown, counted in the average, or included in the structured data — and if there are no published reviews yet, no rating is claimed at all rather than a placeholder score being invented.

Clients

Do I have to enter my clients?

No. The book fills itself from bookings, matching on phone number, whoever took them. You can correct a name or add a note at any time.

How is a VIP decided?

By kept visits: twelve or more is VIP, six is Loyal, two is Regular, below that is New. It is counted from the visits every time it is shown, so it cannot drift out of date.

What counts as a client who is slipping away?

Someone with at least two completed visits who has not had one in the last sixty days. Somebody who came once and never returned is not counted — they were never a regular.

Can clients see the notes about them?

Never. Notes are for the shop, and the profile says so on the field itself.

How does the loyalty card count?

From completed visits only. A booking that was cancelled or a no-show earns nothing, so the card cannot be gamed by booking repeatedly.

Team & scheduling

Do I have to set hours for every barber?

No. A barber without their own schedule works the shop's opening hours, which is the right answer for most of a small team. Set individual hours only for the people whose week genuinely differs.

What if a barber's hours are wider than the shop's?

They are trimmed to the shop's. Personal hours can narrow the shop's window, never widen it, so nobody is ever bookable while the door is locked.

Can a barber work a day the shop is closed?

No. A closed day is not a window to be adjusted — it is no window, even if that barber's own week is switched on for it.

How many breaks can a barber have?

One a day, with a start and an end. It is removed from the times clients are offered and from every wait estimate behind it.

How do I stop someone taking bookings for two weeks?

Pause them. They stop appearing on the booking page and keep their clients, visit history and figures. Appointments already in the diary are not affected.

Queue & walk-ins

How does SalonSync estimate a wait?

It walks the barber's remaining day in order, starting from now, pushing each visit along by the length of the one in front. A client's estimate is where their turn lands after that walk. No averages and no fixed service times — the actual reserved windows.

What happens when a cut runs over?

The chair stays occupied. Because the occupied window comes from the recorded start rather than the booking, everyone behind moves back by the real overrun and the next slot is not offered early.

Can a client see their place in the queue?

Yes. Every booking has a tracking link with their position, their likely start time, and how far behind the shop is running. It reads the same queue the shop's own board does.

Does a late client lose their slot?

Only after the grace period, and grace is measured from whichever is later — their booked time, or when the chair could honestly have taken them. A shop running late does not shorten its clients' grace.

What do I have to press for the queue to work?

Two things: mark the client arrived, and press Start when they sit down. The estimate, the order and the client's tracking page all follow from those.

How does SalonSync choose which barber?

Among the chairs that can genuinely take the visit, the least busy today comes first, then the shop's own ordering of its team. It is the same rule used to resolve a booking where nobody named a barber.

Can I override the recommendation?

Yes. “Pick the chair and time myself” opens the normal barber and time pickers, and a chair tapped on the floor board arrives already selected.

Will a walk-in overrun a booked appointment?

No. The offer is checked against a block long enough for the services chosen, against that barber's real hours and breaks, so a walk-in is never offered a gap it does not fit.

What if every barber is busy?

You are told the soonest each one could start, and how many people are already ahead on each chair, rather than a flat “no availability”. If nobody can take it today, the page says what each chair is actually doing.

Do I need the client's phone number for a walk-in?

Yes. A booking needs a name and a number, and the number is what the tracking link and any reminder are sent to.

Analytics & takings

Is revenue what was booked or what was paid?

What was paid, keyed on when the payment arrived. The diary's value is reported separately and labelled as expected, because a forecast presented as takings is the one number an owner must be able to trust.

Can I compare this month with last month?

Yes. Choose a window of seven, thirty or ninety days and each headline figure shows its change against the equal window before it. If the earlier window had nothing to compare against, the change is omitted rather than invented.

Does a product sale count towards a barber's revenue?

No. Per-barber figures are service revenue only, and the report says so on the panel itself so nobody reads it as total earnings.

Can my barbers see the shop's takings?

No. Revenue and the statistics screen are owner-only, enforced on the API rather than by hiding a menu item. A barber sees their own hours and their own day.

How is chair utilisation worked out?

Booked minutes for the day divided by the shop's open minutes multiplied by the number of chairs taking work. A shop with no barbers reports zero rather than dividing by nothing.

WhatsApp & Telegram

Can I connect WhatsApp today?

Not yet. Connecting a number needs Meta to have approved SalonSync as a Tech Provider, and that approval is pending. The feature is built rather than planned — when the approval lands it is switched on, not written. Everything else in SalonSync works today without it.

Do I need WhatsApp Business?

Yes — a WhatsApp Business account connected through Meta. The number stays yours, and clients keep messaging the number they already have.

Does the assistant reply to everything?

Only while the conversation is in assistant mode and the assistant is switched on. A staff member can take over at any point, and you choose which actions the assistant is allowed to take.

What do reminders cost?

Confirmations and reminders use Meta-approved message templates, and Meta charges for those, not SalonSync. What gets sent is up to you: each message type can be switched off.

Can clients cancel or reschedule by WhatsApp?

Only if you allow it. Cancelling and rescheduling are separate permissions and are off unless you switch them on.

What if I do not want to use WhatsApp at all?

Nothing depends on it. Bookings still come from your public page, and the shop can take them at the desk. WhatsApp is one channel, not the foundation.

How do barbers get told about their own bookings?

Through Telegram, which most already have open. A barber connects their own account and picks which events they want — new bookings, changes, cancellations, or a reminder shortly before the next client. It is per barber and opt-in: nobody is messaged because the shop switched something on.

Are there booking fees or commissions?

No. SalonSync doesn't charge per booking and doesn't take a commission on your revenue or product sales.
